Minutes of Meeting

July 7, 2011
Board Meeting

The monthly meeting of the Fairwood West Homeowners Association Board of Trustees was called to order at 7 pm on Thursday July 7th, 2011.  Trustees in attendance were Adrian Ryneveld, Ray Byrd and Eileen Richards.  Also in attendance was Barb Simeona, Association Bookkeeper and one homeowner.

Do not put outgoing mail with checks in your mail box. 
Take to the Post Office for your safety.

Renton Fire Department – No representative present to report.

For Fire news - go to the City of Renton website and choose the Fire Department.

Homeowner Appeals – There were no homeowner’s present to appeal covenant violations nor past due accounts.

Community Events – Eileen was present to report.  The garage sale was a success.  There is nothing further planned until the holidays.

Adrian noted that it seems like there are a number of people in the community that are elderly and having difficulty maintaining their property.  It would be nice if they could be identified and “helped” by volunteers.  Eileen noted that there are several Boy Scout and Girl Scout groups in the area that maybe would be willing to help out.  Also the local high school kids in the area need community service hours to graduate. 

Security – The Security “Request for Proposal” (RFP) will be sent to all interested companies once everyone approves the 2nd draft that David sent to the Board.  Barb now has all the contact information from Eileen. 

Minutes Of The Previous Meeting – A motion was made, 2nd and approved to accept the minutes as corrected.  Under common properties it stated “Waste Management and setup and account”.  It should have said “Waste Management and setup an account”.

Financial Report – Barb Simeona presented the financial report.  It was accepted as presented. 

Treasurer’s Report –   Ray reported he tried to get Electronic Payment setup with Bank of America with no success.  He will be attempting to get this setup for Q3 2011.  All they could provide him with was “Bill Payer”.

He met with Qualstar regarding cd’s that will be maturing soon.  He has been rolling them into longer terms for better interest rates.

Architectural Control – No representative present to report.

Common Properties – Waste Management now picks up the garbage in the park.  Somehow the can needs to be secured.  Ray made a motion which was seconded and approved to allocate $20 for Eileen to purchase a chain and lock for the garbage can.  Eileen also noted she had bought a box of garbage bags.

There is nothing new on the front entryway lights at this time.

Eileen noted that she replaced the dirt and flowers in the flower boxes in the park.  They were being supported on the fence with zip ties.  She found some flower box “cages” at Home Depot that would work better.  Ray made a motion which was seconded and approved that $30 be allocated to buy supports for the flower boxes in the park.

Pride In Ownership – Nothing at this time.

Covenant Enforcement – The active violation list was reviewed and updated.

Renter Enforcement – The safety deposit box was obtained to store renter information along with other important Association documents.

Unfinished Business – No unfinished business.

New Business – Adrian noted that there are two Board members who have not attended numerous meetings.  After discussion Adrian made a motion that was seconded and approved to remove these two Board members from the Board of Trustees as they are neither active nor contributing. 

Ursela Mastandrea was welcomed to the Board of Trustees as the newest homeowner to volunteer.  Welcome to Ursela!

There is no August meeting due to summer vacations.

The meeting adjourned at 8:20 p.m. after a motion was made, 2nd and approved to adjourn.

The next monthly meeting of the Fairwood West Homeowners Association will be held on Thursday September 8th, 2011 at 7:00 p.m., at the Nativity Lutheran Church, 17707 140th SE in the portable building.
